How to turn Claude project notes into a Word report

Disclosure: I am the creator of AI Output Delivery Kit, the free tool mentioned here.

Recurring reports are easier to review when the questions stay consistent. What changed this week? What remains blocked? What decision does the client need to make? Claude Projects can provide shared project knowledge and instructions, but the resulting draft still needs an accountable human reviewer. Use a deliberate source set for each reporting period instead of treating everything in a project as equally current.

1 Set the reporting boundary

List the week covered, the audience, and the approved notes you want summarized. Separate current notes from older background material. A project brief can explain a goal without proving that this week's milestone was achieved. Identify which source is authoritative when two notes disagree, or leave the conflict visible for review.

Only add client information to an AI service when your agreement and organization permit it. Use a fictional example while learning. The Cedar Studio and Harbor names used here are invented and do not refer to a real engagement.

2 Give the draft a stable structure

Project instructions can describe the report's tone and sections; the reporting prompt should still identify the specific period and source material. Claude's documentation describes project knowledge and instructions as context for project chats. Do not assume a draft has considered every relevant note merely because the notes exist somewhere in the project.

Try this prompt with your authorized source notes:

Draft a weekly status report in Markdown using only the current-period notes identified below. Include Summary, Progress, Risks, Decisions needed, and Next actions. Separate completed work from plans. Mark absent owners or dates as “Needs confirmation.” Do not invent evidence or treat earlier targets as completed results. List any conflicting source statements for my review.

3 Keep decisions distinct from actions

A decision asks someone to choose or approve. An action describes work someone will do. Mixing them makes follow-up harder. In a fictional launch-readiness report, these might appear as:

## Decisions needed
- Confirm who can approve launch readiness.

## Next actions
- Prepare the review agenda.
  - Owner: Needs confirmation
  - Due: Needs confirmation

Keep the unknowns visible while drafting. A prompt can request caution, but it cannot guarantee that the model will avoid errors. Compare the draft with the source notes and resolve any invented status, implied approval, or unsupported causal explanation before converting it.

4 Move the reviewed draft into Word

For an occasional short report, paste into Word and apply heading styles manually. This gives you direct control over the final layout. If you already have a local Markdown conversion workflow, use it rather than introducing another tool unnecessarily.

For a browser-based option, paste the Markdown into the free AI Output Delivery Kit and create a DOCX. The app supports report styling, tables, links, and nested lists. It does not import your DOCX template, generate the report, or validate factual citations. Its local conversion step is separate from Claude's handling of the material you supplied earlier.

5 Review the document as a recipient

Open every page in the application your client uses. Check that a heading is not stranded at the bottom of a page and that long names, identifiers, and table cells remain readable. Images or detected math can trigger export of the whole document's Markdown source as plain text. Ordinary prices such as $19 and $1,250.00 retain normal formatting. Paired math delimiters such as $x$, $$...$$, \(…\) and \[…\] remain unsupported; detection is a delimiter heuristic, not a math parser. Raw HTML is retained as source text. Check warnings before exporting. Do not assume that a successful export guarantees Microsoft Word fidelity.

Single exports download as document.docx; rename them immediately. Finally, confirm the reporting period, unresolved questions, named owners, and any external links. Keep the approved source alongside the delivered version so next week's update starts from a known state. Try this workflow with non-confidential text in the free AI Output Delivery Kit; the public app and its batch features require no pack purchase.
